Submission Guidelines
When submitting a production and/or interest to direct with CAP, one must submit the following:
Previous Experience
Any relevant experience you have had.
Production Details
Along with your submission, include as detailed plans for the production of the show. This includes, and is not limited to structure for auditions, rehearsal plans, set construction, etc.
Tech Details
If there are any props and or set pieces that is not easily obtainable or already CAP property, details on its construction, along with sketches if necessary must be submitted with interest to submit. This it to ensure communication between our tech coordinators and the director as well as to allow ample time for construction of any equipment.
Budget
In order to allow our treasurer ample time to organize all financial aspects of the show, a budget must be included with your submission. This must include definite or estimated prices of all of the following:
- Props
- Costumes
- Set Construction
- Publicity (flyers, ads, etc.)
- Programs
DIRECTOR GUIDELINES
All directors with the College Avenue Players, are responsible for the following:
Tech Details
A copy of the complete script with lighting cues must be submitted to the tech coordinators at least 10 days prior to opening night of the show. The director is responsible for communicating with the tech coordinators throughout the rehearsal process to discuss set construction plans, lighting, and sound. If this is not done, the tech coordinators, as members of the CAP Board have the right to take over all aspects of tech if the situation arises.
Budget
Communication between the director and the CAP treasurer is vital to ensure a successful production. If any changes to the submitted budget are made, the treasurer is to be notified as soon as possible. It is also the responsibility of the director to stay within the proposed budget, and discuss any problems or concerns with the treasurer and CAP Board.
Publicity
Communication with the publicity coordinators is also a vital aspect of directing a production with the College Avenue Players. Directors are to meet with one or both publicity coordinators at least two weeks before opening night of the production with the following information:
- Flyer designs or ideas: The director need not necessarily design a flyer, but must at least give details to the publicity coordinators including criteria and any design requests for the flyers.
- Any other forms of advertising (ads, performance advertising, etc. ) should also be discussed with the publicity coordinators
Programs
The director is responsible for designing a program for the show he/she is directing. A layout design should be submitted to the CAP Board by 6 days before opening night of the production. This is to ensure that all necessary information is included in the program. If the director is not able to make photocopies for each show night, that is something that the CAP Board can complete.
Audience Attendance
A show can be canceled, by the discretion of the director and board members present if one/all of the following occur:
- Inclement weather
- Audience attendance (for a cast of 10 persons or more) is less than half of the cast.
- Audience attendance (for a cast under 10 persons) is less than 5.
If this situation arises, the audience should be requested to leave and encouraged to return to a another show. The final performance of any production cannot be canceled unless under extreme circumstances.
Script Authenticity
Any major changes to a production (i.e. script) after it has been submitted and accepted must be discussed with the CAP Board.
Overall
And lastly, CAP Board members may be stopping into rehearsals to view how rehearsals are being structured and organized. This is by no means a way to intimidate or take over the responsibility of a director, but is placed into action simply to be sure all of our productions are running as smoothly as possible. It is the responsibility of the CAP Board to ensure that each of our productions are successful. If for whatever reason, problems arise throughout the rehearsal process of a production, a board member may be placed as a co-director or overseer to the production. In the same fashion, the director is expected to communicate with the CAP Board as much as possible with any questions/concerns throughout the rehearsal process to avoid the latter from occurring.
